Privacy Policy

cleartools ("we," "us," or "our") is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights regarding that data.

1. Information we collect

Account information

If you create an account, we collect your name and email address via Clerk (our authentication provider). You may also sign in with Google, in which case we receive your name and email from Google.

Email addresses for USCIS alerts

If you use the USCIS Tracker, we collect your email address and receipt date to send you a one-time alert. This is stored in our database until the alert is sent or you request deletion.

Uploaded documents and text

Documents you upload (lease agreements, IRS notices) and text you paste (meeting notes) are processed in real time by our AI. We do not store the content of your documents or notes after processing. Nothing is retained on our servers once your result is returned.

Usage analytics

We use Cloudflare Web Analytics, which is cookieless and does not track individual users or collect personal data. We receive aggregate page view counts and basic performance metrics only.

Payment information

Payments are processed by Stripe. We do not store your credit card number or payment details — Stripe handles all payment data in compliance with PCI DSS. We retain transaction records (amount, date, product) for accounting purposes.

We do not sell your personal data. We do not use your data for advertising. We do not use your uploaded documents to train AI models.

4. Cookies

cleartools does not use advertising or tracking cookies. We use session cookies set by Clerk solely for authentication. Cloudflare Web Analytics is cookieless. You can disable cookies in your browser settings; doing so may affect sign-in functionality.

5. Data retention

  • Uploaded documents and notes: Not stored. Deleted immediately after processing.
  • USCIS alert email addresses: Retained until the alert fires or you request deletion.
  • Account data: Retained while your account is active. Deleted within 30 days of account closure upon request.
  • Payment records: Retained for 7 years for tax and accounting compliance.

6. Your rights

GDPR (EU/UK residents)

You have the right to access, correct, delete, or export your personal data. You may also object to or restrict certain processing. To exercise these rights, contact us at the address below. We will respond within 30 days.

CCPA (California residents)

You have the right to know what personal information we collect, to request deletion, and to opt out of any sale of personal information. We do not sell personal information. To submit a request, contact us below.

7. Children's privacy

cleartools is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated by updating the "Last updated" date at the top of this page. Continued use of cleartools after changes constitutes acceptance of the revised policy.
